It is important that hirers consult the Hall User’s Manual, located in the kitchen.
1. The Hirer
The Hirer or the Hirer’s Nominated Responsible Person must be over the age of 21 years and accept responsibility for being in charge of and on the premises at all times when the public are present and for ensuring that all conditions, under these Conditions of Hire, relating to management and supervision of the premises are met.
The hall must be left clean and tidy. The Hirer will be liable for any costs involved in cleaning the hall and pay for all damage to the premises, or to the fixtures, fittings or contents, and for any loss of contents.
2. Period of Hire
All events must be completed by midnight. The period booked must include time required for preparation prior to the event and clearing up afterwards.
3. Supervision
The Hirer shall, during the hiring period, be responsible for:
- the behaviour of all persons using the premises
- supervision of the premises, the fabric and contents
- the general care, safety from damage, however slight.
4. Maximum Occupancy
The Hirer agrees not to exceed the maximum safe number of people in the hall are as follows:

FREE FROM OBSTRUCTION AT ALL TIMES DURING THE HIRE PERIOD
5. Use of Premises
The Hirer shall not use the premises for any purpose other than that described in the online Booking and shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way, nor do anything or bring onto the premises anything which may endanger the same or render invalid any insurance policies in respect thereof. You must not make any alterations or additions to the premises nor install or attach any fixtures or placards, decorations or other articles in any way to any part of the premises without our prior written approval.
A Duty of Care deposit (amount is at our discretion – depending on the function) is to be paid in advance. We will refund the deposit after the hire, provided that the hall has been left clean and in good order, and there has not been undue noise or other disturbances caused by the hire, especially if complaints are received by third parties.
The gardens surrounding the hall may be used, but note they are not enclosed, and our public liability insurance does not extend to activities outside the hall. If in doubt, please contact us or arrange your own cover.
6. Car Parking
The Hirer shall be responsible for ensuring that guests park within the designated parking spaces of the hall and not obstruct the entrance or roadway to the Briar Leaze housing area.
The hirer and their guests park their vehicles at their own risk and indemnify the Trustees from any liability for damage or loss to vehicles or property.
7. Alcohol
Where agreement has been given for the Hirer to sell alcohol under the use of the Village Hall’s Premises Licence, the Hirer must comply with the following key points from our Premises Licence:
- alcohol must not be served after 11:00pm
- alcohol must not be sold or supplied to under-18s
- special care must be taken to protect children.
8. Noise
It is the hirer’s responsibility to ensure that their event avoids disturbing our neighbours. Please ensure that minimal noise is made on departure, especially late at night. If sound amplification equipment is used, check sound levels outside the hall to make sure they do not exceed reasonable levels.
9. Electrical Appliances
Any electrical appliances brought into the hall by hirers and used shall be in good working order and used safely, in accordance with the Electricity at Work Regulations 1989.
10. Accidents & Dangerous Occurrences
The Hirer must report all accidents involving injury to the public to a member of the Village Hall Management Committee as soon as possible and complete a record in the Village Hall’s accident book, which is stored in the kitchen with the First Aid kit. Any failure of equipment belonging to the Village Hall or brought in by the Hirer must also be reported as soon as possible.
11. Explosives and Flammable Substances
The Hirer shall ensure that:
- highly flammable substances, incendiary devices such as fireworks, are NOT brought into, or used in any part of the premises
- no internal decorations of a combustible nature (e.g. polystyrene, cotton wool) shall be erected without the consent of the Village Hall Committee. No decorations are to be put up near light fittings or heaters.
12. Fire Fighting Equipment and First Aid
The Hirer shall establish the location of First Aid Kit and Fire fighting equipment before the hire event start. Consult the Hall User’s Manual in the kitchen.
13. Childcare Act 2006
The Hirer shall ensure that any activities for children under eight years of age comply with the provisions of the Childcare Act 2006 and the Safeguarding Vulnerable groups Act 2006 and any other relevant legislation.
14. End of Hire
The Hirer shall be responsible for leaving the premises and surrounding area in a clean and tidy condition, properly locked and secured unless directed otherwise and any contents temporarily removed from their usual positions properly replaced. Chairs should be stacked no higher than 4 per stack. Please ensure that the hall heating is turned off, in accordance with the Hall User’s Manual instructions; the Village Hall Management Committee may make an additional charge for any costs incurred.
